Use plain language for what you want to discuss: what it is called, how it is packed and any detail you believe affects the conversation. If a physical detail matters to your question, include it.
Places
Name the relevant pickup and delivery locations, or explain the warehouse-related location involved. Label each place by the part it plays so the note is easy to understand.
Timing
Share dates or a time window as a request rather than an assumption. Mention which event each date belongs to and anything that may be flexible.
